A supplier profile is not supplier verification

A polished website, marketplace badge or convincing video call can support a first impression. None of them, alone, shows that the supplier can reliably deliver your product.

Verification should answer the questions that matter for this order. Is the company legally identifiable? Is it the same entity receiving payment? Does it own the stated factory? Can the production system support the specification, volume and delivery plan? Which claims remain unverified?

What to check before ordering from a Chinese supplier

Company identity

Chinese legal name, registration status, business scope, registered address and operating history.

Commercial identity

Contracting party, quotation issuer, beneficiary account and any related trading or export entity.

Manufacturing capability

Factory role, process knowledge, machinery, normal order size, capacity and subcontracting.

Quality controls

Incoming materials, in-process checks, final inspection, traceability and handling of non-conformity.

Document relevance

Issuer, validity, legal entity, factory site, model scope and connection to the quoted product.

Operational evidence

Samples, production records, live video, photographs or a focused on-site assessment.

Three levels of supplier verification

    Desk-based company check

    Confirm the legal entity and compare registration, address, business scope, website, quotation and payment details.

  2. 02
    Capability investigation

    Use product-specific questions, document review, video evidence, references and samples to test whether the commercial story is coherent.

  3. 03
    On-site factory verification

    Visit the stated site to observe equipment, workflow, staffing, quality controls, records and signs of undisclosed subcontracting.

Not every project needs the highest level. Verification should be proportionate to order value, product risk, consequences of failure and the strength of evidence already available.

Supplier verification, factory audit and product inspection are different

  • Supplier verification asks whether the business and evidence behind the offer are credible for the decision.
  • Factory audit is a structured on-site assessment against a defined operational, quality, social or technical checklist.
  • Product inspection checks specific goods at a chosen stage against an agreed specification and sampling plan.
  • Product testing evaluates samples against defined standards or regulatory requirements, normally through an appropriate laboratory.

These activities complement one another. A real factory can still make a non-compliant product, and a good pre-shipment inspection does not prove the supplier’s financial or legal identity.

Verification reduces uncertainty; it does not remove responsibility.

Supplier checks do not guarantee future performance or EU product compliance. European importers must identify the rules that apply, maintain the required documentation and use competent testing or legal support where needed. The European Commission’s Access2Markets portal is an official starting point for import requirements.

Red flags that call for deeper checks

  • the English company name changes across the website, quotation, contract and bank account;
  • the supplier avoids providing its Chinese legal name or a clear operating address;
  • certificates are cropped, expired or issued to another entity, location or model;
  • factory videos never show a continuous view connecting signage, production and staff;
  • capacity claims conflict with equipment, staffing, lead time or the proposed production plan;
  • technical questions are redirected to an unnamed “engineer” without a substantive answer;
  • a last-minute request changes the beneficiary account or contracting party.

What a useful verification report should show

A report should distinguish facts checked from statements made by the supplier. It should identify sources, inconsistencies, limitations and recommended next actions. Photographs are useful when they are dated, explained and connected to the question being assessed — not added as decoration.

Questions about supplier verification in China

How do you verify a supplier in China?

Combine legal registration checks, payment-entity matching, capability questions, document validation, samples and an on-site factory review where justified.

Is verification the same as a factory audit?

No. Supplier verification is broader and risk-based. A factory audit is one defined on-site assessment that may form part of it.

Does verification prove EU compliance?

No. Compliance depends on the product, applicable rules, technical documentation and testing. The EU importer remains responsible.

When is an on-site visit useful?

When order value, product risk, uncertain capacity, subcontracting or conflicting information makes remote evidence insufficient.
